Operator’s Manual Modernization 

From legacy Word file to a clinician-friendly, compliant manual in four weeks 

Problem

A legacy Operator’s Manual (v5) had grown through years of edits. The result: mixed heading styles, static figure/table references, and uneven voice that made quick clinical use difficult. The client also needed the labeling readability to meet a ≤12th-grade requirement and to preserve approved legal language.

Input quality: Legacy Word file with static figure/table references; inconsistent headings; mixed voice.
Constraints: Maintain approved legal language; adhere to labeling readability ≤12th grade.

Approach 

I treated this as an end-to-end modernization effort focused on clarity, automation, and clinical usability.

• Standardized structure: Rebuilt H1–H3 styles and multilevel lists; numbered procedures; consistent safety callouts.

• Automated references: Converted static cross-references to field codes and rebuilt TOC/LOF/LOT so they refresh automatically on update.

• Visual support: Added/updated screenshots with captions and alt text; used abstracted images to avoid PHI or proprietary UI details.

• Language streamlining: Reduced wordiness; rewrote steps into clear, scannable instructions for clinicians.

• Redlines integration: Merged 100% of client redlines with rationale comments for each substantive decision.

• Compliance focus: Tuned the Flesch-Kincaid level to ≤12th grade while preserving required legal and safety language.

• Tools used: Word styles & fields, cross-references, Track Changes, Snipping Tool.
